1. Who you are contracting with
These terms are between you and Hot Coffee Books UK ("Hot Coffee Books", "we", "us"), trading as Hot Coffee Books, of Hot Coffee Books UK, 86-90 Paul Street, London EC2A 4NE. By purchasing a package, submitting an enquiry or continuing to use this website you agree to these terms. You confirm that you are of legal age and, where you contract on behalf of an organisation, that you have authority to bind it.
2. Our services
We provide publishing, editing and proofreading, ghost-writing, digital and audio book production, literary agency representation, marketing and promotion, corporate publications and book event services. The exact deliverables, milestones and timelines for your project are those set out in the package you purchase and in the written scope confirmed by your editor.
3. Your responsibilities
- Provide accurate information and keep your contact details up to date.
- Supply manuscripts, interviews, research material and approvals within the agreed timescales, and confirm that you hold the rights to any material you give us.
- Keep any account credentials confidential and secure.
- Not misuse the service: no unlawful use, fraud or spam, no infringement of third-party intellectual property, and no interference with our systems (malware, probing, scraping or circumventing technical limits).
4. Intellectual property
We retain ownership of our website, systems, methodologies, templates and branding. You retain ownership of your manuscript and, under our self-publishing model, 100% of your copyright and royalties. You grant us a limited licence to host, edit, typeset, reproduce and distribute your material solely to deliver the services you have bought. Where a rights-holder notifies us of an infringement we will investigate, may remove or restrict the material, and may end our engagement for repeated or serious infringement.
5. Service levels
We work to global publishing best practice, but we do not guarantee that this website or our services will be uninterrupted or error-free, and we do not guarantee any level of book sales, reviews, retail placement, media coverage or agency representation outcome. To the fullest extent permitted by law we disclaim all implied warranties, including merchantability and fitness for a particular purpose.
6. Fees, quotations and invoicing
Package prices are published in our downloadable brochure. Once scope is agreed we issue a written quotation and invoice directly: typically a deposit to reserve your production slot, with the balance invoiced as the work progresses. Invoices are payable by bank transfer within the period stated on the invoice, and any cancellation terms are set out in your project agreement.
7. Suspension and termination
We may suspend or terminate your access to our services for material breach of these terms, non-payment of an invoiced balance, security or fraud risk, or repeated or serious policy violations. On termination we will deliver work completed and paid for, and will provide a reasonable window for you to receive copies of your own material before deletion.
9. Liability
Our aggregate liability arising from your project is limited to the fees you paid us in the twelve months before the claim. We exclude liability for indirect, consequential or special losses, including loss of profits, data, reputation or goodwill. Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence, or any liability that cannot be excluded by law. You indemnify us against third-party claims arising from material you supply, your unlawful use of the services, or your breach of these terms.
10. General
You may not assign your agreement with us without our consent; we may assign ours as part of a merger or acquisition. Neither party is liable for delays caused by events beyond its reasonable control. These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
